X2 and short term study

I plan on studying at an accredited university in Shanghai for just two months this summer. I might go to Xian and Hong Kong durning my stay. My university sent me an email directing me where to go the day classes start. I plan on staying in the dorms. Is this an acceptable type of email to send in with my application or do I need to have them physically mail me something?
