Attending Education Fairs, can you help me with our visas?

Hi,
The 3 of us (all Malaysians) from a government university in Malaysia are travelling to Shanghai (from 1-2 Nov 2014) to participate in an Education Fair. What would be the last date for us to get it because we can't apply now as we are still awaiting for the university's approval.
